Free NDIS Invoice Template for Sole Traders
Your neighbour mows your lawn for free. Your NDIS plan could be paying them.
If your NDIS funding is self-managed or plan-managed, you're not stuck with agencies. The neighbour who mows your lawn, or the mate who cleans when your executive function has left the building, can bill your plan for it.
They need three things: an ABN, a support your plan actually covers, and an invoice the NDIS will accept.
What they can actually do
Three kinds of work can usually go through your plan this way:
Cleaning: vacuuming, bathrooms, kitchens, laundry.
Gardening: lawn mowing, edging, weeding, yard tidying.
Support work: help at home, personal care, or getting out into the community.
Not your mum
The NDIS is blunt about this one: you can't use your funding to pay a family member for support. It only reconsiders in limited circumstances, so don't assume you're one of them. Sorry, Mum.
Who can bill your plan
Self-managed and plan-managed participants can use unregistered providers. Agency-managed (NDIA-managed) participants can't: their providers must be NDIS registered.
Unregistered just means a sole trader or business with an ABN. Applying for an ABN is free through the Australian Business Register. The NDIS requires a valid ABN on every invoice unless the provider is exempt.
The invoice
An NDIS invoice isn't a normal invoice. It needs the participant's name and NDIS number, the dates of support, the support item number and price, and the provider's ABN. Miss one and the payment stalls.
Self-managed: the provider invoices you. You pay them, then claim it back and upload the invoice as evidence.
Plan-managed: the invoice goes to your plan manager, who pays the provider. The rate can't go above the NDIS price limit.
